Every estimator has a scar story: the half-size sheet, the fixtures counted twice, the addendum nobody re-measured. Almost none of those stories involve a hard measurement being hard — they involve a routine check being skipped under deadline pressure. That's what a checklist is for. Pilots don't run checklists because flying is hard; they run them because skipping the easy step is how experienced people crash. Here are the twelve checks, in the order they pay off. They apply in any software, and most of them applied on paper too.

The checklist

  1. Verify scale on every sheet. Measure a printed dimension — a grid spacing, a door opening — on each sheet and confirm it matches. Not just the first sheet: sets mix scales, enlarged plans differ, and re-plotted PDFs lie. A wrong scale corrupts everything measured on that sheet, silently.
  2. Snap on, always. Precision aids exist to remove the half-inch of human wobble at every click. Freehand clicks on a long linear run accumulate error in one direction more often than they cancel. If you had to turn snap off for one odd measurement, turn it back on before the next.
  3. Write the deduction policy down. Which openings get deducted from areas, at what threshold, on which faces. Any consistent policy beats a brilliant policy applied from memory — because "from memory" means differently on sheet 3 than on sheet 30.
  4. Close every polygon. An area boundary that doesn't close is either not measuring what you think or silently self-intersecting. Trace back to the exact starting point, and check that oddly-shaped rooms didn't get a crossing edge — a bow-tie polygon reports garbage area with a straight face.
  5. Enforce the count-once rule. Before counting, assign a source-of-truth sheet for every area and device type: floor plan or enlarged plan, which side of the match line, power sheet or lighting sheet.   6. Re-check revisions with an overlay. When a revised sheet arrives, don't trust the revision clouds — engineers miss clouding changes more often than anyone admits. Overlay old against new so the differences show themselves, then re-measure what actually moved.
  7. Audit the units. Walk the estimate line by line asking one question: is this quantity in the unit its price expects? SF priced as SY, LF priced as EA, CF where CY belongs — unit mismatches are the estimating equivalent of a decimal error, and they survive every other check because the quantity itself is right.
  8. Get a second-person spot check. Ten minutes of someone else's eyes: they pick three quantities and re-measure them cold. Within a few percent, move on; outside it, find out why before bid day. You're not checking their arithmetic — you're checking your assumptions, which you can no longer see.
  9. Reconcile the export. The totals in your takeoff tool and the numbers on the bid form must match, item for item. Every manual re-type between systems is a transposition waiting to happen. If a quantity changed after export, re-export — don't patch the spreadsheet.
  10. Keep the audit trail. Every number on the bid should trace back to visible markups on a sheet. If a quantity has no marks behind it — a "we always carry 200 LF" special — either measure it or label it explicitly as an allowance. Traceable numbers are defensible in bid review and findable when something doesn't reconcile.
  11. Log the addenda. Keep a one-page log: addendum number, date received, sheets affected, what changed, re-measured yes/no, estimate updated yes/no. An addendum acknowledged on the bid form but never carried into the quantities is a negative change order you wrote to yourself.
  12. Scan for scope gaps. Last pass: read the general notes, the spec sections for your trade, and the schedules — looking for work that's written but never drawn. Blocking, firestopping, moisture barriers, "provide and install" notes buried in schedules. What's drawn gets measured; what's only written gets missed.

When you can't run all twelve: deadlines happen. If you have to triage, run 1, 5, 7, and 11 — scale, count-once, units, addenda. Those four catch the errors big enough to turn a won bid into a lost year. Then say so in your bid notes, and run the rest before you sign a contract.
